MailFiler Tip #7 - Share Project Mails And Email Addresses

When you create a Project / Job or whatever your terminology is, you associate it with an Outlook folder. If you want to share the mails you can make this a public folder or you can 'hotlink' it to a file system folder which can be shared (Network folder etc.).

The Project / Job definition itself can also be shared either by having this list located in a Public Folder (From Advanced Options and only for Exchange users) or by sending the Project / Job definition as XML in an email to other people involved in the Project / Job.

Email addresses can be set an associated with specific Projects / Jobs etc. Any mail sent or received that is associated with the Project / Job will automatically have all email addresses added to the definition.

This means that when anybody is creating a new mail (or replying or forwarding) in the context of a specific Project / Job , then the list of people involved will be displayed and they can single click to send to them (or Cc: or Bcc: them). This is a great time saver in terms of productivity, searching for email addresses or misspelling / typing addresses.
