MailFiler Tip #3 - Create Your Own Inbox Collections And Even Link Them To Outlook Rules

Add Your Own Collection

MailFiler provides standard collections  for your Inbox - Suspect Mail , Trusted Senders , Meetings , 'ToDo' List , Bulk Mail etc. You can also create your own collections. Examples would be 'Microsoft' for all the people in Microsoft you deal with, a 'Critical Items' section, all mails through a particular mailbox (if you have multiple mailboxes) or any other criteria that you might want to use. When you combine MailFiler groups with the Rules Wizard they can be even more powerful - for example all messages with the text 'Support Request' could go into a 'Support' group.

To add your own collection simply select the drop down arrow from the MailFiler toolbar and select 'Define Inbox Collections ..'. Type in the name of the new collection and some other details such as the default filing location. You can add a toolbar button for this collection. When you click on the button the mail you are on (and optionally all subsequent mails from the sender) will go into the collection. To add other senders to the the group just highlight mails from those senders and select the group from the drop-down menu or toolbar button.

Rules Wizard

To get Outlook Rules driving your Inbox groups, startup the Rules Wizard from the Tools menu. Create a New rule - select to 'Start From A Blank Rule', then 'Check Messages When They Arrive', then 'Next'. Define the criteria for selecting mails for the group , then click 'Next'. Now under the heading 'What do you want to do with the message ?' scroll to the bottom of the list and select 'Custom Action'. Click on the 'Custom Action' hyperlink, Select 'Set MailFiler Inbox Collection', click 'Change' and you will get a list of your MailFiler collections. Pick the collection or you can add a new collection from here if you wish. Press OK and finish the Wizard.
