MailFiler Pro is a Microsoft Office COM Add-In for Outlook 2000, Outlook 2002 (Office XP) and Outlook 2003. It works with these versions of Outlook on Windows 98, Windows ME, Windows NT, Windows 2000 and Windows XP.

References

MailFiler works on a similar principal to the 'Our Ref:' reference that you might see in traditional written correspondence. When you translate that metaphor into the electronic world it becomes much more powerful.

MailFiler creates a unique reference for every message thread that you have. A message thread is a series of messages all relating to one original message (a conversation). MailFiler maintains a database link between this reference and a filing location.

By doing this MailFiler can keep track of message threads, know where messages should be filed, allow you to identify particular messages and can rapidly retrieve messages.

The references are on the basis of one per message thread but different users may have different filing locations associated with that reference. MailFiler operates in the background watching where you are filing mails and builds up the information without any extra effort on the part of the user.

Threads

To display all the messages in a thread you click on 'Show Thread' or type in the reference identifier. Because MailFiler uses an indexed database it can go directly to the location where the messages are stored and rapidly display them ; assembled in the correct sequence. You can open multiple thread windows and let them 'float on top' if you want to monitor replies to a mail.

Reminders And Notifications

MailFiler allows you to set message reminders and notifications for replies to emails. The message reminder system is built on top of Outlook Tasks giving you the ability to review all outstanding reminders, dismiss them, snooze etc. It extends the task item to show the message thread and what has happened so far and when.

Notifications are either on screen or sent via MAPI to Web Mail accounts, Pagers or SMS Phones.

MailFiler also includes extra functions that allow you to mark mails from certain senders as being Junk or Bulk mails. Bulk mails can be grouped together in the Inbox and can be filed according to the domian from where they were sent. MailFiler can also group items in your Inbox under a 'To Do' list.

MailFiler monitors your folders and remembers where you filed mails from particular senders. It will remember up to the last 20 locations where you filed for each sender. If there is not an exact match for filing from the reference then you can pick from this list. The last folder used for the sender will be the default.

MailFiler deals with message types that are emails and meeting items. Meeting items are meeting requests, acceptances etc. They can be grouped together in the Inbox and filed together in the meetings folder. References can be applied to meetings also so that all responses to a meeting request can be tracked and collated.
